How to Sign a Document Without Printing It
Print, sign, scan, email. For years that was the only way, and it still eats a morning when the printer is out of ink. You don't need any of it. You can sign a PDF, a Word file or even a photo of a paper form right on your phone or computer, and send it back in a minute. Here's how, for whatever you've been sent.
In 30 seconds
- Open multidocs.app/sign-pdf, upload the PDF or a photo, draw your signature, download it. Free, no account.
- Your phone and computer already have tools for it: Markup on iPhone, Preview on Mac, Draw in Microsoft Edge.
- Only have paper? Take a photo and sign the image.
- Under the ESIGN Act, an electronic signature has the same legal effect as ink for nearly every private document.
The 1-minute method
This works on any phone, tablet or computer, in any browser.
- Open Sign a PDF and tap “Choose document.”
- Pick the file: a PDF, or a JPG or PNG photo of the document. On a phone you can tap “Scan a paper document” and use the camera.
- Choose “Just me” and tap “Add my signature.” Draw it with your finger, mouse or trackpad.
- Place it on the signature line. Add the date, your printed name, initials or checkboxes if the form needs them.
- Tap “Finish” and download the signed PDF, or send it by email straight away.
No account, no watermark, no limit when you're the only one signing. The file is processed on your device and isn't uploaded. The signed PDF includes a signature record with the date, time and a SHA-256 fingerprint of the document.
By type of file
| You received | How to sign it without printing |
|---|---|
| A PDF | Upload it and sign. See how to sign a PDF for six methods. |
| A Word document | Save it as PDF (File › Save As › PDF), then sign. See how to sign a Word document. |
| A fillable form | Fill in the fields in your PDF reader, save, then add your signature. |
| A scan or photo | Upload the image directly; it becomes a PDF. |
| A signing link | Tap it and follow the screens. You don't need an account. |
Tools already on your device
- iPhone and iPad: open the PDF in Files or Mail, tap the Markup button, then “+” › “Add Signature.” Full steps.
- Android: use the browser, the free Adobe Acrobat Reader app (Fill & Sign), or the pen tool in Google Drive. Full steps.
- Mac: open it in Preview, click the Markup button, then Sign › Create Signature.
- Windows: open the PDF in Microsoft Edge and use Draw, or use Adobe Acrobat Reader's Fill & Sign.
These built-in tools draw your signature onto the page but don't record who signed or when. For documents that someone might dispute, a signature with an audit trail is stronger.
When you only have paper
Lay the page flat on a dark surface in good light, hold the phone straight above it and take a photo (or use “Scan Documents” in the iPhone Files app or “Scan” in Google Drive). Upload the photo to MultiDocs: it straightens and cleans it up so it looks scanned. Sign and download. Multi-page document? Take one photo per page, or scan them into a single PDF first.
When others need to sign
If you're the one collecting signatures (a client, a tenant, a parent, a new hire), don't send them a file and ask them to print it. Send it for signature instead: upload it, choose “Other people,” mark where they sign and send a link by email, text message or WhatsApp. They sign on their phone without an account, and you get one email with the signed PDF and its certificate of completion. The free plan includes 15 requests a month. See send a document for signature.
Is it as valid as ink?
For nearly every private document, yes. The ESIGN Act says a signature, contract or record “may not be denied legal effect, validity, or enforceability solely because it is in electronic form” (15 U.S.C. § 7001(a)). Every state has a similar rule, through the UETA or, in New York, its own law. More in are electronic signatures legally binding?
When you still need to print
A few documents still need wet ink or a notary: wills in most states, many real estate deeds, certain court and family law papers, and some notices. If the recipient (a court, a county recorder, a bank) explicitly asks for an original ink signature, follow their instructions. See documents that can't be e-signed and e-signature vs. notary.
