Free Rent Receipt Template (Printable or E-Signed)

A rent receipt is a written record that a landlord received a rent payment: how much, when, for which period and for which property. It protects both sides. The tenant can prove they paid, and the landlord has a clean record for taxes and for any dispute. Here is a complete template and how to send it signed in under a minute.

In 30 seconds

  • A rent receipt shows the date, amount, payment method, rental period, property address, tenant, landlord and any balance due.
  • Number your receipts so you can match them to your records.
  • Some states require a written receipt for cash payments. New York, for example, requires one for cash and money orders.
  • An electronically signed receipt is valid and easier to keep than paper.

What a rent receipt should include

  • Receipt number and the date the payment was received.
  • Tenant's name and the property address, including unit number.
  • Amount received, in numbers and words, and the payment method (cash, check number, money order, transfer).
  • The period it covers, for example "rent for December 1–31, 2026".
  • What the payment is for: rent, late fee, deposit, pet fee or utilities. Keep deposits separate from rent.
  • Balance still due, if any, so a partial payment isn't mistaken for a full one.
  • The landlord's or agent's name and signature.

The line on partial payments matters. In some states, accepting rent after starting an eviction can affect the case. If you are in that situation, talk to a local lawyer before accepting money.

How to sign a rent receipt and send it to your tenant

If you only need to sign the receipt yourself, you don't need to send anything for signature: fill it in, sign it and download it, then email or text the PDF to your tenant. Nothing leaves your device.

  1. Upload the receipt. Fill in the template, save it as a PDF and open it in Sign PDF, or take a photo of a paper receipt book.
  2. Place the fields. Your signature and date. If you want the tenant to acknowledge it too, add a signature field for them.
  3. Send it. By email, text message, WhatsApp or link. With several units, bulk send gives each tenant their own copy of a monthly statement.
  4. Keep it with the audit trail. A signed copy with a certificate of date, time and device, for your records and theirs.

When is a rent receipt required?

There is no federal rule. Some states require landlords to give a written receipt in certain cases, most often when rent is paid in cash. New York's Real Property Law § 235-e, for example, requires a written receipt for rent paid in cash, by money order, cashier's check or any form other than the tenant's personal check, with the date, amount, premises and period covered, and the signature and title of the person receiving it, and lets tenants ask for a receipt for rent paid by personal check too. Other states have their own rules, so check your state's landlord-tenant law.

Even where it isn't required, a receipt is good practice. For landlords, it supports the rental income you report on your tax return; for tenants, it can be proof of address, proof of payment in a dispute, or support for a state renter's credit where one exists.

This is general information, not legal advice. For your specific situation, ask a lawyer licensed in your state.

FAQs

Do landlords have to give rent receipts?

It depends on the state. Several states require a receipt for cash payments, and New York requires one for cash and other non-personal-check payments. Elsewhere it's good practice, not a legal duty.

Is an electronic rent receipt valid?

Yes. Under the ESIGN Act and state electronic signature laws, an electronic receipt and signature have the same effect as paper ones.

Can a tenant write their own rent receipt?

A tenant can prepare it, but it only proves payment once the landlord or their agent signs it.

Should a security deposit go on a rent receipt?

Give a separate receipt for the deposit. Deposits have their own rules on holding and returning the money, and mixing them with rent causes confusion later.

How long should I keep rent receipts?

Keep them at least as long as you keep your tax records, and until any dispute is over. Download the signed PDFs: MultiDocs deletes files 30 days after completion.

Do I need a rent receipt if the tenant pays by bank transfer?

The bank record is proof of payment, but it doesn't say which month it covers. A receipt fixes that, especially for partial or late payments.
